Application Message Sunday's Best Farmer's Market - Vendor Application & Guidelines Thank you for your interest in becoming a vendor at our year-round indoor market at Regency Square in Richmond, Virginia. We're building a consistent, high-quality marketplace featuring farmers, artisans, food vendors, and small businesses. Event Details *Location: Regency Square (Indoor Upper level) *Day: Every Sunday *Time: 12:00 PM - 6:00 PM *Setup Time: 9:00 AM - 11:45 PM *Breakdown: 6:00 PM - 7:00 PM Vendor Fee *Standard 8-ft table space: $25 per week *Chair: $3 *Electricity (limited availability): $5 Payment is required in advance to reserve your space once approved. Vendor Categories Accepted We welcome a variety of vendors, including: *Fresh produce & farm goods *Baked goods & packed foods *Arts & crafts / handmade items *Clothing & accessories *Plants & flowers *Antiques & vintage items *Kitchenware / home goods *Beverages *Books / publications *Services (must be pre-approved) Vendor Requirements *Vendors must provide their own tables, chairs, and displays setup. *All displays must be clean, professional, and contained within your assigned space. *Food vendors must comply with all local health regulations. *Required permits/licenses are the responsibility of the vendor. *No counterfeit or prohibited items allowed. Market Rules *Be on time: Late arrivals may forfeit their space. *Stay for full duration: Early breakdown is not permitted. *Cleanliness: Leave your space as you found it (trash removal required). Do not put your trash into the mall trashcans. Herbetarian will collect your trash only if they are in trash bags. You will not be accepted back if your space is not clean. *Conduct: Be respectful to customers, staff, and other vendors. *Noise: No loud music or disruptive behavior. *Sales: Vendors are responsible for their own transactions and pricing. VA sales tax is 6%. Prohibited Items *Illegal goods *Weapons of any kind *Alcohol (unless pre-approved) *Hazardous materials *Offensive or inappropriate merchandise Marketing & Promotions By participating, vendors agree that photos/videos of their setup may be used for promotional purposes. We encourage all vendors to promote the event on their social media to help grow attendance. Vendor Cancellation & No-Show Policy To maintain a consistent and reliable market experience, all vendors must agree to the following cancellation terms: Payment & Reservation *All vendors fees must be paid in full to secure your space. *Spaces are not guaranteed until payment is received. Cancellation Policy *Cancellations made 72+ hours before the event (Thursday at 1 PM): *Eligible for a credit towards a future market date (no refunds). *Cancellations made within 72 hours of the event: *No refund or credit No-Shows *Vendors who do not attend and fail to notify Herbetarian (DaShawna and/or Jonathan): *No refund or credit *May be denied future participation Rescheduling *Vendors may request to transfer their spot to another approved date with at least 72 hours' notice, subject to availability. Emergency Exceptions *Emergencies will be considered on a case-by-case basis. *Documentation may be required. Event Status *This is an indoor market and will proceed regardless of weather. *No refunds or credits will be issued due to weather conditions. Market Cancellation (Herbetarian aka Organizer) If the market is cancelled by the organizer (Herbetarian), vendors will receive: *A full credit towards a future date, or *A full refund By submitting payment, vendors acknowledge and agree to this cancellation policy. Approved vendors will receive confirmation and payment instructions.
